Booking & pricing

How booking works, what happens if plans change, and how far ahead to reach out.

How do I book?

Start with the quote form: tell us the venue, the date and what you want to record, and we’ll reply with an exact quote within one business day. Once you book, the price in your quote is locked even if site prices change, and anything you change after that is quoted and confirmed before it applies. Prefer to skip the form? Email book@podcastingmobile.com, or call or text (702) 498-7850.

How do payment and cancellation work?

Bookings are paid in full to reserve your date, by credit or debit card, ACH bank transfer, or check. If plans change, the refund depends on how far out you cancel:

  • 30 or more days before your event: full refund, minus payment processing fees.
  • 14 to 29 days before your event: 50% refund.
  • Less than 14 days before your event: no refund.

To cancel, email book@podcastingmobile.com, and we count the days up to your first booked day. The full policy is in our booking terms.

What if we need to reschedule, or the show is canceled?

Rescheduling is case by case and depends on availability, so tell us as soon as you can. If the show or venue cancels, or events outside anyone’s control stop it, we move you to a new date first, and if no new date works, the normal cancellation terms apply. If we have to cancel, you choose between a new date and a full refund. The details are in our booking terms.

How far ahead should we book?

For trade shows, we recommend reaching out 4 to 6 weeks before the show. That leaves time for exhibitor paperwork, the certificate of insurance and a plan for your booth. For hotel, home and office sessions, send your date as soon as you have one, and if it’s closer than you’d like, ask anyway. We’ll tell you plainly whether it can work.

Is there a minimum booking, and what if we run long?

Hourly sessions have a 2-hour minimum, so the smallest hourly booking is $898 (2 hours at $449). Booked time starts when we arrive and includes setup (under an hour) and teardown, and that goes for booth packages and the day rate too. If you need to run long and the crew can stay, extra time is billed at $449 an hour, agreed with you on site before it starts. Every rate is on the pricing page, and the fine print is under hours and extra time.

Do you work outside Las Vegas?

Yes. We’re based in Las Vegas, work across Henderson, Summerlin, North Las Vegas and the Strip, and travel nationwide and abroad when the budget allows. Outside the metro, the travel day rate starts at $4,999 per day, with flights, hotel and gear shipping quoted upfront and billed at cost. The details are on the pricing page.

Conventions & venues

The logistics questions your booth team and exhibitor services will ask, plus hotel rooms.

The Teddy Talks podcast booth for AP Systems at RE+ in Las Vegas, with two white sofas, cameras on tripods and lights on the show floor

Which trade shows have you worked?

We’ve worked CES, NAB Show, RE+, IBS (International Builders’ Show) and SEMA, plus smaller conferences, expos and private events.

We’re also available for AAPEX, CONEXPO-CON/AGG, World of Concrete, SHOT Show, JCK Las Vegas, MAGIC, AWS re:Invent, IMEX America and Global Gaming Expo (G2E). We haven’t worked those yet, so we list them separately. More on convention booths.

How do you handle exhibitor rules and load-in?

Every show has its own exhibitor rules, so we work with your booth team and the show’s exhibitor services to follow them. The whole kit packs into cases on one hand truck, and a standard 3-camera setup takes under an hour from load-in to recording. Send us the show, your booth number and your move-in window, and we’ll plan around them.

Do we need to order venue power for your kit?

Not for a 4-hour booth package. Our own battery power station, an Anker SOLIX C1000, runs the whole kit for at least 6 hours. On longer days, such as an 8-hour day rate, part of the day runs on venue power, and we’ll confirm what we need when we plan your session. Your booth’s own screens and lights stay on your usual power order.

Will the audio hold up on a loud show floor?

That’s what the mic choice is for. Dynamic podcast mics and wireless lavaliers sit close to each speaker and pick up the voice in front of them far more than the crowd around them. You’ll still hear a little of the show floor, which is normal for a booth interview, but the conversation stays on top.

How much booth space do you need?

The standard kit and set fit inside a standard 10x10 booth. In a bigger booth, we fit the set into your layout. If you want the podcast set to be the booth, we build custom 10x10 podcast booth sets with our trusted set-build partners, from $9,499.

Are you insured? Can you send a COI?

Yes. Fully insured. Certificate of insurance (COI) available on request. Tell us who needs it, whether that’s the venue, the show’s exhibitor services or your own team, and we’ll send it.

Can you record in my hotel room?

Yes. Hotel suites and standard rooms both work, on the Strip or off it. The kit packs into cases on one hand truck and runs on our own battery for at least 6 hours, so it sets up in the room you already have. You handle the room and any permission you need to record there, and we bring the rest.

The session

What you bring, what we bring, and how the recording runs.

A remote guest on a monitor during an on-location recording

What do we need to provide?

Three things: a space, permission to record there, and your guests. We bring the cameras, mics, lights, power and an on-site engineer to run it all, on every package, Booth Basic included. If you have a format, a run of show or a list of questions, send it ahead and we’ll set up around it.

How many people can be on mic?

Booth Pro and Booth Showcase put up to 4 people on mic at once, and Booth Basic includes 2 wireless lavalier mics. For hotel, home and office sessions, the standard kit has 3 Shure MV7X podcast mics on floor stands plus wireless lavaliers. Tell us your head count on the quote form and we’ll confirm the setup.

Do we have to record video?

No. If you only need audio, say so on the quote form and we’ll plan the session around the mics. Either way, you get multitrack audio with each mic on its own track. With video, the standard kit adds 3 Sony 4K cameras switched live on site (Booth Basic uses one camera).

Can you live stream the session?

Yes, to YouTube, Twitch, X, LinkedIn or a private platform. Live streaming is included in Booth Showcase and quoted with your booking for every other session. Some conventions restrict wireless streaming on the show floor, so we check your show’s rules and work within them.

Can a guest join remotely?

Yes. A remote guest can join on a monitor on set, so the people in the room can see them and talk with them during the recording. Mention it when you ask for a quote so we plan for it.

How long does setup take, and does it count toward our booked time?

Under an hour from load-in to recording, for our standard 3-camera setup. And yes, it counts: booked time starts when we arrive and includes setup and teardown, so plan your recording to fit between the two. The whole kit comes in on one hand truck, so there’s no parade of carts through your booth or lobby.

After the session

Files, editing and clips, and who owns what you record.

Live-switching a booth interview between camera angles on a laptop at RE+

What files do we get, and when?

Raw files arrive within 24 hours by cloud download link, or we copy them to your own drive on site. You get multitrack audio, each camera’s 4K ISO file and a switched 1080p master, which is everything your own editor needs to start. We don’t store files after delivery, so download and back up your copy right away. The spec sheet lists the gear behind those files.

Do you edit the episodes and cut social clips?

Booth Basic and Booth Pro include basic interview editing, and advanced interview and clip editing is +$500. Booth Showcase includes advanced editing. Full, publish-ready episode editing, with audio mixing and branding, is quoted with your booking, and so are social clips: 15 to 60 seconds, in vertical and square cuts for Instagram, LinkedIn and TikTok. Prices and package details are on the pricing page.

Who owns the recordings, and do you use them in your marketing?

You own the recordings once your booking is paid in full. We may use stills, short clips and your name to promote our work, unless you opt out in writing (email is fine) before your booking. If your company has other requirements, tell us before you book. The details are under Your recordings in our booking terms.
